Fields Required To Upload For Onsite
EventNook Onsite – Data Bulk Upload: What Fields Are Required?
When using EventNook Onsite for attendee check-in and badge printing, uploading guest data in bulk can help streamline the onsite process. To ensure everything runs smoothly, it’s important to structure your data file (usually in Excel or CSV format) with the right fields.
This guide explains what fields are required and which ones are optional based on your event needs.
✅ Essential Fields (Required)
These fields are mandatory for the system to recognize and register attendees properly.
1. Name
You can upload either:
Full Name (e.g., John Smith), or
First Name and Last Name in separate columns.
💡 Tip: Use separate First Name and Last Name fields if you plan to personalize badges or want more flexibility in reporting.
2. Email Address
Ideally, provide each delegate’s email.
If the delegate’s email is not available, a generic placeholder email (e.g.,
[email protected]) can be used.
📌 Email addresses help with unique identification and check-in history tracking.
3. Badge Printing Information
Include all fields that need to be printed on the badge. This could include:
Company Name
Guest Category (e.g., VIP, Speaker, Exhibitor)
Table Number
Designation/Title
🖨️ Only the fields you include here will appear on printed badges, so double-check your badge design requirements.
4. External QR Code ID (Optional)
Include QR Code ID column if you use QR Code from 3rd party registration system (such as CVent or Eventbrite) for scanning.
📝 Other Optional Fields
These fields are not required for check-in or badge printing but can be useful for reporting, filtering, or administration.
1. For Reporting & Analytics
Add fields that help with post-event analysis. For example:
Country (e.g., to analyze guest demographics)
Registration Type
Lead Source
📊 Use these fields if you plan to run reports or segment your guest data later.
2. For Administrative Use
Include any fields that support your team’s logistical or operational needs, such as:
Dietary Preference (e.g., Vegetarian, Halal)
T-Shirt Size (e.g., S, M, L, XL)
Special Requirements (e.g., Wheelchair access, Interpreter)
🧾 These fields won’t show on badges unless you explicitly include them in the badge design, but they’ll be available in the system for staff use.
