D&D Event - Selling Table Ticket

Use Case: Selling Table vs. Individual Tickets for a Paid D&D Event

Background: Organizing a successful Dinner & Dance event, whether for fundraising or exclusive member nights, requires strategic ticketing options. Typically, events feature both individual ticket sales and full table bookings (10 guests per table).

Objective: This use case study demonstrates how EventNook can streamline the management of dual ticketing strategies based on your event

✅ Use Case Overview

Customer Requirement: Offer two types of tickets:

  • Individual Ticket – $450 per person

  • Whole Table Ticket (10 pax) – $4,500 per table

Goal: Provide flexibility to buyers while ensuring guest information can be collected efficiently, either upfront or later.

Option 1: Collect All Attendee Details at Point of Table Purchase

If you want to collect the names and details of all 10 attendees immediately when someone purchases a Table Ticket, here’s how you can configure it:

🎯 Setup Instructions

  • Ticket Type: Group Registration Ticket

  • Price: $450 per person (total $4,500)

  • Min Pax per Ticket: 10

  • Max Pax per Ticket: 10

  • Label/Name: “Table of 10 (Full Guest Info Required)”

This setup enforces that the buyer must register 10 guests in a single transaction, and they’ll be prompted to enter all attendee information.

✅ Best For

  • Corporate events where guest info is needed for seating or dietary planning upfront

  • Organizers who require full attendee data early

⚠️ Things to Consider

Some buyers may not have all 10 names ready. This could slow down sales if the form is too time-consuming at the point of purchase.

Option 2: Sell Table with One Buyer and Collect Attendee Details Later

To speed up sales and allow buyers to fill in attendee information later, this method works better.

🎯 Setup Instructions

  • Ticket Type: Single Registration Ticket

  • Price: $4,500 per table

  • Min/Max Pax per Ticket: Not needed (defaults to 1)

  • Label/Name: “Table of 10 (Register Guests Later)”

After purchase, you can allow the buyer to assign 10 attendee slots using one of these methods:

Option A: Use Promo Code for 100% Discount

  1. Create a Promo Code that offers 100% discount.

  2. Allow the table buyer to use it to “claim” up to 10 individual guest tickets for free.

  3. Promo code can be unique per buyer or shared.

Option B: Use Invitation Code Feature

  1. Send out Invitation Codes linked to free individual passes.

  2. Buyer distributes the codes to their 10 guests who register themselves.

💡 Pro Tip: Enable Self-Edit Feature for Buyer

Include a “Self Edit Registration” link in the confirmation email so that the main buyer can later edit the details of each attendee in the group.

Here is the mail-merge link of the Manage Registration in the confirmation email.

🔔 Reminder Email Strategy

To ensure guest information is collected in time:

  • Set up Reminder Emails targeting Table ticket buyers with the Self Edit Registration link or the registration link to claim the tickets for attendees in the table.

  • Include instructions and links to:

    • Claim guest passes using promo/invite code

    • Update attendee information

  • Send reminders 1 or 2 weeks before event.
